# Night Setup

> Details on how to get ready to start service in-venue, including checking bookings, assigning staff, and more.

  <Step title="REVIEW PRE-ARRANGED BOOKINGS">
    To plan for the service period, start by scanning upcoming bookings and reviewing table availability.

    In the DQ Pro app, go to the **Bookings** tab. You’ll only see bookings related to the upcoming service period. For bookings more than 48 hours in the future, please log in to the CMS (see **Managing Bookings**).

    ### Things to check:

    #### Are bookings fully paid?

    * Payment status is shown by the color of the booking cost at the bottom right of the booking tile.
      * **Red outline**: Payments still outstanding.
      * **Green outline**: Booking is fully paid.

    To view payment details:

    1. Tap on the booking.
    2. Navigate to the **Payments** section.
    3. Review payments made and any outstanding balances.

    #### Do all bookings have a complete guest list?

    * The number of guests is shown under the booking name as **"# Guests"**.
    * Tap on this tile to expand and view all listed guests.

    To prompt the booker to complete their guest list:

    1. Tap on the booking.
    2. Tap the three dots in the top-right corner.
    3. Select **"Request Guest List"**.

    This sends an SMS or email to the booker with a link to complete and share the guest list.

    #### When are guests expected to arrive?

    * If arrival times are active at your venue, the expected arrival time will be displayed under the booking status.

    To add or change an arrival time:

    1. Tap on the booking.
    2. Tap on the **Guests** section.
    3. Locate **"Arrival Time"** and select a time from the dropdown.

  <Step title="ADD LAST MINUTE BOOKINGS">
    If a booking wasn't made online or needs to be added last-minute, you can create one using the DQ Pro app.

    ### How to add a booking:

    1. Tap the **Bookings** tab in DQ Pro or access the Bookings page in the DQ CMS.
    2. Tap the **“+”** icon at the top right and select the event you're booking for.
    3. Select the seating option or package to apply.
    4. Choose an existing guest or tap **"Select Guest"** to create a new one.
    5. Tap **"Select Table"** to assign the guest to a table.
    6. The information shown is a quote — it must be saved before editing. Tap **"Save Booking"**, then make any changes to guests or payments.

    > Creating a booking will trigger a confirmation via email or SMS. Communication preferences can be managed in the CMS.
  </Step>

  <Step title="ACTIVATE ROSTERED STAFF MEMBERS">
    To manage access and ensure system security, activate users at the start of their shift and deactivate them when they're rostered off.

    ### To activate users:

    1. Go to the **Tables** tab.
    2. Tap the **Settings** button in the top-right corner.
    3. Find the users and toggle them to **"Active"**.

    Follow the same steps to deactivate users.

    > While deactivated, users will not have access to any DQ Pro app functionality.

    <Tip>
      ⚠️ Security warning: It may take up to 15 minutes for access to be revoked after a user is disabled.

  <Step title="ASSIGN STAFF TO TABLES">
    Assign staff to tables so they're aware of their responsibilities and booking statuses.

    ### To assign staff:

    1. Go to the **Tables** tab.
    2. Tap the **clipboard icon** in the top-right corner.
    3. Tap the **“+”** button next to the desired table and select a staff member.
    4. To remove an assignment, tap on the staff member's name.

    > Assigned staff will receive a notification in the DQ Pro app.
